Administrative Manager

Your role:

We are looking for a versatile and highly-organized Administrative & Office Manager!

You will be responsible for handling our day-to-day office tasks and ensuring smooth operation and employee experience. You will provide operational, administrative, and general office support to the company, influence all employees, and take a major part in all operation and culture aspects. Job duties would include but are not limited to, managing the day-to-day office operations, basic HR functions, supporting departments’ needs and working closely with the finance and legal department, assist planning office culture events, onboarding process, office supply inventory, and other administrative duties as assigned.

Your day-to-day will be:

  • Responsible for the day-to-day office operations, such as maintenance, supplies, vendors, office equipment, IT equipment, groceries, coffee, parking, etc.
  • Provide general admin support to the office and be the focal point to your peers with anything regarding their office needs.
  • Day-to-day HR support.
  • Work closely with external bookkeeping, finance, and legal firms. 
  • Management and control of payments: perform all activities related to accounts payable, including reviewing and processing payments to local and foreign service providers.
  • Bookkeeping management: invoice tracking, credit card charges, and wire transfers.
  • Manage salary administration.
  • Manage welfare activities: organizing off-sites, company events, Happy Hours, employees’ birthdays, birthday gifts, holiday gifts, SWAG (giveaways), etc.
  • Assist in sourcing and recruiting new employees.
  • Manage the onboarding process of new employees.
  • Take ownership of tasks/projects as needed.

Requirements:

  • Well-organized with high attention to detail.
  • Proven experience in an administrative role.
  • Excellent time management skills and the ability to multitask and prioritize work.
  • Capable of working both independently and on a team.
  • Orientation in basic computing tools, e.g. GSuite, spreadsheets, etc.
  • Very high service awareness and ability to work in front of many interfaces.
  • A flexible, proactive approach to work including the ability to prioritize and re-prioritize.
  • A high level of English.

Even better if you have:

  • Native or mother-tongue English. 
  • 1+ years of experience as an Office Manager or equivalent from a Tech/Start-up company.
